Terms And Condition

BOOKING PROCEDURES:

A deposit of 50% is required to book any tour arrangements.
The balance is to be paid 30 days prior to commencement of the tour.
Payment is required in full when bookings are made less than 30 days before the tour begins.
Alternately you may do a Bank transfer for the quoted amount. Any changes made to the itinerary will be charged extra. Confirmed bookings cannot be moved to another date. 
Once you have confirmed a safari then you can always get our bank details to transfer the payment to our account or you can pay us in cash at our office in Arusha.

CANCELLATION POLICY :

Bookings which has been confirmed and later got cancelled or reduced the length of stay or reduces number of clients is registered under "Cancellation Policy" and is subject to cancellation or No Show fees at discretion of Gyan Expedition  under the following terms, as follows :
89 to 60 days prior to departure - 25% Cancellation fees of quoted and agreed prices.
60 to 45 days prior to departure - 50% Cancellation fees of quoted and agreed prices.
Less than 45 days prior to departure - 80% Cancellation fees of quoted and agreed prices.
Within 45 days or No Show cancellation from the day of arrival and/or utilizing confirmed service(s) - 100% cancellation fees of the quoted and agreed prices.
Furthermore no refund demands for unused portion would claimed by client under the cancellation policy as depicted above. 

TOUR ALTERATION:

The sequence of the itinerary and the accommodation of safaris are adhered to as far as possible. 
We reserve the right however to make alterations due to unforeseen circumstances including but not limited to war, mechanical breakdowns, bad weather, riots, road conditions, congestion or other causes. We also reserve the right to decline or retain a passenger as a member of any tour at any time. The Company shall not be held liable in any of these possible occurrences or any consequences, which may arise as a result of these. 

Mostly on peak-high season, most of the lodges are getting fully booked therefore incase if we need to reroute your program will be honored without any complaint or compensation demands. In most cases we do refuse hotel / lodge to move our clients.

LIMITED LIABILITY RELEASE :

The Company acts only as an agent of the passenger in all matters relating to tours and it accepts no responsibility for any personal illness, injury, accident, death, delay, loss, damage or irregularity of any kind, which may be occasioned by reason of any act or omission beyond its control, including without limitation, any act of negligence or breach of contract of any third party such as a hotel or airline, who is to, or does supply, any goods or services for the trip. 
Gyan Expedition will not be responsible for any losses or expenses due to delay or changes in schedule, overbooking of accommodation, fault of third parties, sickness, weather, strikes, acts of God or for any other cause beyond its control. 
All such losses or expenses have to be borne and paid for by the passenger. The Company's liability to passengers carried in its own vehicle is governed by Tanzanian law and all claims are subject to the jurisdiction of the Tanzanian Courts. 
Whilst every care is taken, the Company will not be held responsible for loss or damage to baggage, personal effects, valuables or currency. 

BAGGAGE ALLOWANCE :

Baggage is restricted to one standard size bag while on safari due to limited space in the vehicle and road conditions. 
For scheduled flights within the parks the maximum baggage allowance is 15 kgs per person in soft bags. Excess luggage can be stored in the left locker room of most hotels or at our office. 
During safari we suggest clients to go with duffle or soft bags due to limited space in vehicle.

PASSPORTS, VISA AND OTHER TRAVELLING DOCUMENTS:

It is the client’s sole responsibility to ensure that the passport, visa, health certificates, proof of vaccinations and other documentation required are all in order for countries to be visited.
The company cannot be held liable for any consequences, damages  or claims if the client does not attend correctly to the client’s documentation and related matters prior to commencement of the tour.

RISK :

The client accepts that all tours are of an adventurous nature and involve an element personal risk. Neither the company nor any of its agents can be held liable in any way of any injury, loss of life or damage of property, howsoever caused. The client hereby indemnifies the company and will hold the company, its agent, assigns and servents harmless from any such claim.
The client accepts full responsibility for all risks involved.

INSURANCE : 

It is an expressed understanding and condition that any person traveling with Gyan Expedition  has an adequate and valid insurance cover against personal accident, medical attendance, baggage and other valuables. 


AUTHORITY ON TOUR :

The decisions of the company’s guide/driver on the tour shall at all times be final and binding.
The client must all times comply with the laws, customs and foreign exchange regulations of all countries visited.

MARKETING :

The company reserves the right to use any photographs and video taken during tours for marketing or any other advertising material. The client hereby gives cosent to use such photographs and authorities the company to retain copyright for these photographs and such material. 

SAFARI COST INCLUDES :

Accommodation and Meals as specified.
Assistance at the Airport including meet and greet service.
Exclusive 4x4 vehicles with pop up roof { minimum 5 to 7 clients per vehicle }
Service of an experience English speaking driver guide.
Game drive and crater tour as specified in your program.
Park fees and government taxes [ as per the existing rates ].
Transfers as specified on the program.
Emergency evacuation with Air Ambulance [Fly in doctors] if advised in advance by clients.

SAFARI COST EXCLUDES :

  • International Flights
  • Visas
  • Driver Guide or Local escort gratis.
  • Dining room tips, porterage, personal travel, drinks, baggage allowance or insurance
  • Laundry, Telephone bills or any items of personal nature.
